Job Summary:

As the Office Manager at Plett Truck Repair in Langley, BC, you will be pivotal in enhancing and overseeing administrative procedures, focusing on aligning these processes with the needs of commercial truck repair and parts operations. The position demands an understanding of commercial truck repair procedures, parts management and inventory, as well as warranty management and the claims process.

Please note, we are a 24-hour facility, operating 7 days per week.  This position is for Wednesday - Saturday coverage, from 5am - 3pm.  You must have weekend and early morning availability.

 

Main Duties and Responsibilities:

  • Oversee and enhance office administrative procedures, ensuring alignment with commercial truck repair and parts operations, and implement new procedures as necessary for efficiency and effectiveness.
  • Establish and prioritise work tasks, delegate responsibilities to office support staff, and monitor to ensure timely completion and adherence to set procedures, with a focus on commercial parts management.
  • Coordinate and manage office equipment, supplies, and maintenance.
  • Conduct administrative analyses and oversee operations related to budgeting, contracting, and internal project management.
  • Assist in the development of the operating budget, maintaining stringent controls over inventory and expenditures, particularly in the procurement and management of truck part inventory.
  • Compile and prepare periodic and special reports, manuals, and correspondence, particularly focusing on parts inventory, warranty claims, and repair procedures.
  • Manage the apprenticeship processes for Commercial Truck Mechanics and Heavy Equipment Mechanics, including apprentice registration and communication with SkilledTradesBC.
  • Maintain up-to-date knowledge and serve as a liaison regarding manufacturer warranty, policy procedures, and truck repair protocols.
  • Perform and oversee regular parts inventory audits, manage annual inventory counts, and execute parts returns of aged inventory to optimize stock levels.
  • Systematically handle the receipt, inspection, and storage of stock and special-order parts.
  • Proactively manage and maintain automated inventory replenishment lists, conducting daily perpetual parts counts, and reporting any discrepancies to ensure consistent stock availability.

    

Wage/Salary: $29.00/hour

Benefits: Full Extended Medical and Health Benefits after 90 days employment, including Life Insurance, Dental, AD&D Insurance.

Hours Per Week: 40 hours per week

Skills Requirements

Education: Secondary School Diploma Required

Work Experience: At least 1 year of work experience as an office manager, office administrator or parts administrator in a commercial truck repair facility.

Skills/Licensing:

  • Verifiable work experience in a commercial truck repair environment, including verifiable work experience in parts administration and warranty processing.
  • Demonstrated knowledge and understanding of commercial truck parts management, including procurement, inventory control, and returns processing.
  • Demonstrated knowledge and understanding of manufacturer warranty, policy procedures, and truck repair protocols, and the ability to serve as a liaison in these areas.
  • Strong demonstrated competence in Microsoft Excel and Microsoft Word
